Creative Minds 2025 Exhibition - Terms and Conditions

1. Exhibition Details

• Setup Date: 17th March 2025
• Exhibition Dates: 18th - 23rd March 2025
• Private View: 21st March 2025, 6:00 PM - 9:30 PM
• Location: Espacio Gallery, 159 Bethnal Green Road, London, E2 7DG

2. Participation and Fee

• Submission: Free of charge for all artists.
• Participation Fee: Charged based on wall space selected, applied upon selection of artwork.
• First Come, First Served: Exhibition space is allocated on a first-come, first-served basis, prioritising artists who complete payment first.
• Commission on Sales: A 10% commission applies to artworks sold during the exhibition.

3. Artist Responsibilities

• Artwork Preparation: Artists are responsible for preparing artworks for hanging (fitted with D-rings if applicable) and must adhere to gallery requirements for hanging.
• Artwork Hanging and Layout: Artists are responsible for arranging and hanging their works within the dimensions of their allocated wall.
• Labeling: Artists must provide and place labels for their artworks, following gallery guidelines for attachment.
• Artwork Collection: All artworks must be removed by the end of the exhibition on 23rd March. A fee of £25 per day applies for late collection.

4. Delivery and Collection

• Delivery Date: Artworks to be delivered on 16th or 17th March 2025 at specified times.
• Collection Date: Artworks must be collected on 23rd March from 5:00 PM.

5. Insurance and Liability

• The gallery is not liable for any loss or damage to artworks or personal belongings. Artists are encouraged to secure their own insurance.
• Exhibitors are responsible for any damage to gallery fixtures, fittings, walls, or equipment.

6. Private View (PV) Guidelines

• Artists may invite guests to the Private View. Each artist is encouraged to bring beverages and snacks proportional to the number of guests invited.

7. Interactive Activities and Workshops

• Artists are welcome to organise workshops or interactive activities, subject to gallery approval. A 20% commission applies to paid activities.

8. Gallery Supervision and Security

• Supervision Rota: Artists will be placed on a rota for gallery supervision to ensure smooth operations.
• Key Handling: Artists must sign the keyholder register. Lost or stolen keys incur a fee for re-locking.
• Security Measures: The gallery must not be left unattended during open hours; doors must remain locked if unsupervised.

9. Hanging and Display Guidelines

• Only the gallery’s hanging system may be used; nails, screws, tapes, or adhesives are not allowed on gallery walls.
• Weight Limitations: Works above 10 kg cannot be hung; alternative display methods must be arranged for heavy works.

10. Prohibited Activities

• No hazardous materials, live fire, or alteration of gallery lighting fixtures are permitted.

11. Final Curatorial Decisions

• While artists manage their own curation, the gallery reserves the right to make final decisions if any work violates its standards for inclusivity and respect.

12. Cancellation and Refund Policy

• Non-Refundable Policy: All payments for gallery-organised exhibitions are non-refundable once a booking is confirmed.
• Force Majeure: If unforeseen circumstances prevent the gallery from hosting the exhibition, alternative dates or a full refund will be offered.
• Pandemic Clause: In case of lockdown, the exhibition will be rescheduled; no refunds will be issued for lockdown-related rescheduling.

13. Acceptance of Terms

• By completing the payment and signing the contract, artists agree to these terms.
