Terms & Conditions for Venue Hire
Venue-hire basis only. Espacio Gallery provides the physical exhibition space and facilities. Curation, installation, invigilation, marketing and other support are not included and can be booked as extra services subject to availability.
1. Overview
Espacio Gallery is an independent, artist-run venue in Shoreditch, London. These Terms apply to solo and group hires for a defined week. The Gallery acts solely as a venue provider and does not represent or act as agent for organisers or artists.
2. What’s Included in the Hire Fee
- Use of the gallery space for the agreed week (Monday to Sunday).
- Professional hanging system and gallery lighting.
- Wi-Fi, shared kitchen and basic storage access.
- Basic cleaning before and after the hire period.
- Optional listing of dates on the Gallery’s website calendar.
Not included: curation, installation, invigilation, promotion, photography, bar service, design work, wall repairs or deep cleaning — these are available as extra services below.
3. Extra Services (Bookable on Request)

| Wall Repairs & Repainting | Professional repair after takedown if walls are marked or damaged. |

4. Payments & Confirmation
- Bookings are confirmed only upon receipt of full payment by bank transfer within the invoice timeframe.
- All fees are non-refundable once paid. Early payments indicate acceptance of these Terms.
5. Responsibilities of the Organiser
- You manage installation, curation, daily opening/closing, invigilation and takedown.
- Use the official hanging system only (no nails, screws, glue or Blu Tack).
- Return the space clean, tidy and free of damage; vacate on time to respect incoming exhibitions.
6. Sales & Financial Independence
The Gallery does not charge commission on artwork sales. All sales, payments and deliveries are handled directly by the organiser/artists with buyers. The Gallery is not an intermediary.
7. Insurance & Liability
Espacio Gallery maintains standard Public Liability Insurance for visitors in cases of proven Gallery negligence. Organisers and artists are responsible for insuring artworks, materials and personal property. The Gallery is not liable for theft, loss or damage during installation, exhibition or takedown.
8. Accessibility
The ground floor is accessible via a portable ramp. The lower ground floor is reachable only by stairs. Organisers must inform participants and visitors of these limitations in advance.
9. Alcohol, Music & Events
- Alcohol may be served free of charge, or under a valid Temporary Event Notice (TEN).
- Music/performance must comply with UK copyright and safety laws; reasonable sound levels apply.
- Live activities require prior approval from the Gallery.
10. Conduct & Inclusion
We celebrate diversity and operate a zero-tolerance policy for hateful, discriminatory or unsafe behaviour. All exhibitions must uphold professional and community standards.
11. Cleaning & Waste
Keep the space clean throughout the week. Dispose of rubbish responsibly and observe Tower Hamlets regulations; do not leave waste outside before collection hours. Additional charges or council fines may apply for non-compliance.
12. Keys & Security
Keys are issued under the organiser’s name and must be returned at the end of hire. Lost/unreturned keys require full lock replacement by our security locksmith. Always lock the gallery when unattended.
13. Photography & Promotion
By exhibiting, you grant the Gallery permission to photograph/film the exhibition for non-commercial promotional use (website, social media, publications). Artists retain full copyright in their works.
14. Cancellation
All payments are non-refundable. In exceptional cases, a one-time reschedule within 12 months may be offered at the Gallery’s discretion (subject to availability and an admin fee). Bookings may be cancelled by the Gallery if payments are delayed or if conduct breaches these Terms.
15. Governing Law
These Terms are governed by the laws of England and Wales. Disputes fall under the exclusive jurisdiction of the courts of London, United Kingdom.
